Sherborne Sports Centre Holiday Club Specific Terms and Conditions

These terms and conditions (the “Agreement”) govern your child’s participation in Sherborne Sports Centre Holiday Activity Clubs organized by Sherborne Sports Centre Limited (hereinafter referred to as “SSC,” “we,” or “us”).

You, the reader of this document, will hereinafter be referred to as “I” or “parent/guardian”. By checking the box, you acknowledge and agree to be bound by the terms of this agreement.

1. Booking Fees:

The entry fee, as specified on the online entry system, is due in full at the time of booking. If this is not paid, SSC will not be able to reserve any place for your child and the place shall not be booked until payment has been accepted.

2. Closing Date:

The closing date for entries is 48 hours prior to the event taking place. The closing date for each Holiday Club day is also indicated on our booking system.

3. Participation in Activities:

I give permission for my child to attend and participate in all the activities provided.

A Climbing and Bouldering Jot Form must be completed prior to arriving at Sherborne Sports Centre for the Holiday Activity Club. If this waiver is not signed, your child will not be allowed to participate in any climbing activities.

In addition to this, I will notify the Holiday Club Leader of my child’s ability to swim. If a child cannot swim or is a weak swimmer they will be asked to stay in the shallow end of the swimming pool for their own safety. All swimming sessions are monitored by a qualified lifeguard hired by Sherborne Sports Centre.

4. Medical Information and Additional Needs:

I agree to let a Holiday Club Leader know of any medical information, allergies or additional needs that my child has which are deemed necessary to disclose.

5. Minor First Aid (on site):

In the event of illness or injury, I give permission for medical treatment to be administered where considered necessary by a nominated First Aider, or by suitably qualified medical practitioners. Parents/Guardians shall be made aware of any minor injuries upon collection of their child.

6. Emergency First Aid and Medical Treatment:

In the event of a major medical emergency, accident or injury to your child, we will attempt to contact parents/guardians immediately after assessment of the child’s injury. If a parent or guardian cannot be contacted and the child should require emergency hospital treatment, I authorise a qualified medical practitioner to provide emergency treatment and/or medication. In addition, I will inform activity leaders of any health-related information they need to know, especially any allergies to medication.

7. Cancellation Policy:

Sherborne Sports Centre will need to be notified by email (gym@sherborne.org) of any cancellations. To receive a full refund, notice must be given 24 hours before the start of the day booked. If less than 24 hours’ notice is given for cancellation of a booking, there will be no refund given.

8. Schedule Amendments:

Sherborne Sports Centre reserves the right to cancel or change the activity programme due to lack of demand/adverse weather conditions.

9. Safety and Child Expectations:

Children attending must be in a minimum of School Year 2 and no more than School Year 6. Sherborne Sports Centre reserves the right to refuse entry to anyone who does not meet the lower age limit for the activity days.

Participants must adhere to health and safety guidelines set by our Holiday Club Leaders. If Holiday Activity Club leaders do not feel like behavior, language or approach to others is fair, we will ask this individual to sit out. If behavior does not improve, then this individual’s parents/guardians will be contacted immediately, and no refund will be offered or authorised by SSC in these cases.

9. Force Majeure:

In the event of unforeseen circumstances (Force Majeure), SSC reserves the right to cancel or modify the event. SSC’s liability is limited to the total entry fee paid by the participant in accordance with our cancellation policy stated above.

10. Liability and Indemnification:

SSC is not liable for personal injury, and participants indemnify SSC against any claims resulting from a breach of these conditions. Participants are responsible for obtaining personal accident insurance.

11. Use of Personal Information and GDPR:

All information (including that of the child, as well as the adult consenting to this agreement) given to SSC will remain confidential. The information you give us is needed so our activity leaders can meet any specific needs of your child. If any of the information given upon booking for SSC Holiday Club changes, I agree to update the Sports Centre via email or in writing as soon as possible and agree for this information to be updated and input into our booking system where necessary.

11. Disclaimer:

Participants accept all booking terms and conditions and acknowledge SSC’s limited liability, and release SSC from any consequential or indirect loss resulting from participation in the event.
